How to order from Japan with H&K

One contact in Tokyo for many Japanese makers. Here is how quotes, samples, payment and shipping work, so you can plan your first order.

We work with overseas retailers, distributors and restaurant suppliers. You send one list. We check it with each maker, combine the items and ship them together.

Ordering steps

Six steps from enquiry to delivery

Most first orders follow the same path. Freight is charged separately, based on the size and weight of your shipment.

  1. Send your list

    Tell us the products, quantities and destination. Model numbers, photos or a rough idea are all fine.

  2. Get a quotation

    We check stock and prices with each maker. You get one quotation in Japanese yen, EXW Japan, with lead times.

  3. Test samples

    Samples are available for most items. We quote the sample cost and the shipping cost before we send them.

  4. Confirm the order

    When the items are fixed, we send a pro-forma invoice with the final quantities, prices and shipping plan.

  5. Pay before shipment

    Pay the pro-forma invoice by bank transfer or Wise. We then collect the goods and prepare the shipment.

  6. Receive and reorder

    We ship with a commercial invoice and a packing list. Reorders are faster, because we know your items and address.

Our standard terms at a glance

These are our usual terms for overseas buyers. Some makers have their own rules, so we confirm everything in the quotation.

PricesIn Japanese yen (JPY), EXW Japan. Freight, insurance and import charges are not included.
Minimum orderSet by each maker. Many items are sold by the carton. Some items can be ordered in smaller quantities.
Mixed ordersWelcome. You can combine items from different makers in one order and one shipment.
Lead timeItems in stock: usually one to two weeks after payment. Items made to order: about two to six weeks, depending on the maker. OEM and custom packaging take longer.
SamplesAvailable for most items. For new customers, we ask for the sample and shipping cost before we send them.
PaymentFull payment before shipment, by bank transfer (T/T) or Wise. Bank charges for transfers are paid by the buyer.
ShippingAir courier (usually FedEx) for samples and small orders. Sea freight for larger orders. You can also use your own forwarder or courier account.
DocumentsA commercial invoice and a packing list with every shipment. We share materials and HS codes for customs clearance.
Import rulesThe buyer checks the rules of the destination market. We help with product information from the maker.
LanguageEnglish or Japanese.

If you need another trade term, such as FOB, ask us and we will check what we can offer for your order.

Questions from overseas buyers

What is your minimum order quantity?

It depends on the maker and the item. Many items are sold by the carton, and some can be ordered in smaller quantities. Send us your list and we will confirm the quantities in our quotation.

Can I combine products from different makers?

Yes. We combine items from different makers in one order, one invoice and one shipment. This is one of the main reasons buyers work with us.

Do you send samples?

Yes, for most items. We quote the sample cost and the shipping cost first. For new customers, we ask for payment before we send the samples.

How do I pay?

By bank transfer (T/T) or Wise, in Japanese yen. We ask for full payment before shipment. Bank charges for transfers are paid by the buyer.

Which trade terms do you use?

We quote EXW Japan as standard. Freight is not included in the product price. If you need another trade term, ask us and we will check what we can offer.

How do you ship?

Samples and small orders usually go by air courier (FedEx). Larger orders can go by sea freight. You can also use your own forwarder or courier account.

Who pays import duties and taxes?

The buyer pays import duties, taxes and local charges in the destination country.

Are all your products made in Japan?

Not always. We confirm the country of origin for each item. If you need made-in-Japan products only, please tell us when you ask for a quotation.

Can you make products with our brand?

Yes, for some products. Body towels, konjac sponges and other household goods can be made as OEM or private label. See our OEM pages or send us your brief.

Can I contact you in English?

Yes. Our team replies in English or Japanese, by email, phone or WhatsApp.
